Atla Open Press: Updating Front Matter

This guide provides information for authors, prospective authors, readers and editors of the publications of Atla Open Press

Steps

  1. In the Submissions panel, the EiC opens the "Front Matter" submission.
  2. The EiC updates the title page file:
    • The EiC clicks the blue file link for “TitlePage-#-#.docx” (where the hashes represent the volume and issue numbers of the last published issue) and downloads the file.
    • The EiC makes necessary updates to the title page in Word on the local drive. This will entail changing the date and issue number (sometimes the volume number as well), and the description for the cover image. Less commonly, changes to the editorial roster may occur.
    • Back in OJS, the EiC clicks Upload File.
    • In the upper drop-down menu, the EiC selects “TitlePage-#-#.docx”.
    • The EiC clicks Upload File and selects the revised title page from the local drive.
    • The EiC clicks Continue.
    • On the Review Details screen, the EiC clicks the pencil and paper icon to edit the file name. The EiC removes any prefixed user name and updates the numbering for the current volume and issue, so that the file name again has the format "TitlePage-#-#.docx", updated to the current issue numbering. The EiC clicks Continue.
    • On the Confirm screen, the EiC clicks Complete.
    • The EiC clicks OK; the old file has now been replaced.
  3. The EiC updates the table of contents file:
    • The EiC clicks the blue file link for “ToC-#-#.docx” (where the hashes represent the volume and issue number of the last published issue) and downloads the file.
    • The EiC makes necessary updates to the ToC in Word on the local drive. This involves re-populating the ToC with the article titles and author names for the new issue and setting the sections and the order in which they should appear. The EiC does not need to enter page numbers at this time; the layout editor will add the page numbers when the galleys have been prepared.
    • Back in OJS, the EiC clicks Upload File.
    • In the upper drop-down menu, the EiC selects “ToC-#-#.docx”.
    • The EiC clicks Upload File and selects the revised ToC from the local drive.
    • The EiC clicks Continue.
    • On the Review Details screen, the EiC clicks the pencil and paper icon to edit the file name. The EiC removes any prefixed user name and updates the numbering for the current volume and issue, so that the file name again has the format "ToC-#-#.docx", updated to the current issue numbering. The EiC clicks Continue.
    • On the Confirm screen, the EiC clicks Complete.
    • The EiC clicks OK; the old file has now been replaced.
  4. The EiC updates the cover image file:
    • The EiC clicks Upload File.
    • In the upper drop-down menu, the EiC selects “Cover-#-#.png”.
    • The EiC clicks Upload File and selects the new cover image from the local drive.
    • The EiC clicks Continue.
    • On the Review Details screen, the EiC clicks the pencil and paper icon to edit the file name. The EiC removes any prefixed user name and updates the numbering for the current volume and issue, so that the file name again has the format "Cover-#-#.png", updated to the current issue numbering. The EiC clicks Continue.
    • On the Confirm screen, the EiC clicks Complete.
    • The EiC clicks OK; the old file has now been replaced.
